Job Purpose

To review and verify student graduation status; and maintain College-wide database of information relating to degree audit, degree, and certificate programs and majors.

Description of Duties and Tasks

Essential duties and responsibilities include the following. Other duties may be assigned.

  1. Reviews degree audits for accuracy, status of students (program requirements complete, not complete), and appropriate substitutions and/or waivers; reviews other student documents for degree audit purposes; makes corrections to audits in computer system.
  2. Proposes appropriate substitutions and/or waivers to student programs; approves or denies Record of Substitution and Waiver forms submitted by Deans and Department chairs for all disciplines; applies approved subs/waivers to degree audits; logs and distributes forms to appropriate departments.
  3. Builds, updates, and/or deactivates programs (College Credit and Continuing Education) in computer system using a variety of screens.
  4. Maintains database tables in computer system for transcripts and web applications for student and faculty usage.
  5. Responds to student inquiries pertaining to status and program advisement via telephone, e-mail, and regular mail.
  6. Reviews and signs student status letters; advises Deans and Department Chairs via telephone, e-mail and intercampus mail, regarding procedures relating to graduation, Core Curriculum and General Education requirements.
  7. Evaluates student transcripts; requests data for internal and external customers.
  8. Assists in special events such as graduation ceremony, College Connections, and faculty/staff training.
  9. Advises staff of data correction and/or requests additional codes as needed.
